Using a system like Insemito to digitize your parts inventory management ensures that your tools, critical spare parts, and equipment are always accessible and ready to use.

Insemito is ideal for keeping record of equipment like:

Insemito will keep track of expiration dates and component lifetimes, among other things. In addition, all required documentation, such as certificates, MSDS and instruction manuals, can be gathered in one place.

To keep track of your equipment and parts, you’ll need to create Metas. The Meta contains the Material Master Data for a single item or item groups. When ordering and exchanging parts, Master Data is crucial for all parties involved.

Make sure your Metas are always up to date with the relevant OEM part numbers, manufacturers, distributors, and permitted service partners. Also, make sure that no dublicates are created, and that equipment is updated in the right place in the system.

We recommend that Metas are created by a small group of persons with the necessary abilities to keep equipment records up to date.

As a result, having precise Metas can assist you in avoiding inventory inacuracies or issues at the order and exchange levels. It will also improve the effectiveness of your scheduled preventive maintenance (PM), since components can be bought and exchanged quickly and effectively with minimal downtime.

It will be possible to maintain an effective work order procedure by creating a strong spare part registration on both Meta and Item levels.

Create a work order process that is simple to follow, but ensures that all relevant information is handed along.

Employees will not use the desired process if it is too complicated, or if there are ways to get spare parts without a work order. This will lead to inventory inaccuracies.

Establish a procedure for placing non-emergency work orders in advance. Work orders that are requested ahead of time can be pulled and staged for pickup or delivered to the requesting department.

Ensure that effective security measures are taken in the warehouse.

Adopt a policy stating that component inventories are “off limits” and that only relevant employees have access to corporate spare parts. Physical security measures, such as parts counters, are one approach to ensure this. They restrict personnel from entering inventory stock locations and extracting essential parts. Allowing everyone access to parts inventory can easily lead to inaccuracies.

Centralize and consolidate satellite parts inventory into your main parts warehouse as much as possible. This not only improves security, but it also makes it easier to manage and maintain inventory accuracy for the potentially large assetw. Ensure that stock locations are created at the lowest detail. (typically a bin and slot location for each item). 

It can be difficult for employees to locate a part, if the location identifier is a shelf, where many other parts are in a shared location. You will be able to better regulate your components inventory if you follow the above suggestions.
